Exhibit/Sponsorship Information

Sponsorship is not confirmed until LOMA has received a signed application with the agreed upon fees paid in full. Unpaid sponsorships will be subject to being resold. To ensure the quality of conference sponsors LOMA reserves the right to exclude exhibitors that in their sole discretion deems inappropriate for the conference.

Overview  

EXHIBIT OPPORTUNITIES:
Register as and EXHIBITOR Now!  

SPACE ASSIGNMENTS
Space is limited to tabletop displays or similar sized displays.  Each exhibiting organization will receive:

  • 6-foot skirted table

  • Electrical outlet

  • One-time use mailing list (Your choice - three weeks prior to or three weeks following the event.)

  • Listing in the on-site conference material

  • Listing on vendor flyer included in conference registration packets

  • Recognition on general session walk-in slides

EXHIBIT REGISTRATION FEE - $1,795 LOMA Member ($2,395 Non-Member) One complimentary conference registration is included with each exhibit space reserved.  Additional conference registrations are available for $495 per person.

Spaces will be assigned on a first come, first served basis.  To ensure the quality of conference exhibits, LOMA reserves the right to exclude exhibitors that in its sole discretion deems inappropriate for the conference.

Display applications are not confirmed until LOMA has a signed contract.  Spaces will be assigned by the conference organizers based on the order in which the contracts are received.  Unpaid display spaces after thirty days (no later than May 5, 2010) will be subject to being re-sold to other clients.

Displays will be located in the area immediately adjacent to the primary meeting rooms for the conference.  While there are no official hours for the exhibits, exhibitors are encouraged to have staff at their display during the following functions and times:

Wednesday, June 2, 2010

  • Reception and Registration in Exhibit Area: 5:30-6:30 p.m.

Thursday, June 3, 2010

  • Continental Breakfast: 7:30 – 8:30 a.m.

  • Refreshment Breaks: 10:15 – 10:45 a.m.

  • Luncheon: 11:45 a.m. – 1:00 p.m.

  • Refreshment Break: 2:00 – 2:15 p.m.

Friday, June 4, 2010

  • Continental Breakfast: 7:30 – 8:30 a.m.

  • Refreshment Break:  9:30 – 9:45 a.m.

It is in the best interest of the exhibitors to have a representative at their display during these periods. Each exhibitor will receive one conference registration for use by the exhibit staff to attend the entire conference and all functions associated with the conference.

Displays should be assembled no later than 4:00 p.m. on Wednesday, June 2, 2010.  Displays may be dismantled and removed at the conclusion of the conference sessions on Friday, June 4, 2010.

SPONSOR OPPORTUNITIES

Sponsors of the below events will automatically receive the following:

Reception or Lunch

  • Recognition of the sponsorship at the event with signage and from the conference podium

  • An appropriate 60-minture presentation on the conference program.  Sponsorship must be paid no later than January 6, 2010 to ensure a session on the program

  • One exhibit space with one electrical outlet-All of the food and drink functions will be held in the reception area including the reception on Wednesday evening

  • Two full conference registrations.  Additional staff can be registered at the rate of $495 for each subsequent registration.

  • Distribution of one piece of collateral in the registration packets

  • Online exposure on the conference website

  • A listing and product description in the onsite material (You must commit no later than May 5, 2010 to be published in the onsite program)

  • One-time use mailing list; your choice, of receiving it either three weeks prior or three weeks following the conference

 

Breakfast or Refreshment Break

  • Recognition of the sponsorship at the event with signage and from the conference podium

  • One exhibit space with one electrical outlet-All of the food and drink functions will be held in the reception area including the reception on Wednesday evening

  • One full conference registration.   Additional staff can be registered at the rate of $495 for each subsequent registration.

  • Distribution of one piece of collateral in the registration packets

Conference Bag Sponsorship  

  • Recognition of the sponsorship at the event

  • One full conference registration.  Additional staff can be registered at the rate of $495 for each subsequent registration.

  • Distribution of one piece of collateral in the registration packets

  • Online exposure on the conference website

  • A listing and product description in the onsite material (You must commit no later than May 5, 2010 to be published in the onsite program)

  • One-time use mailing list; your choice, of receiving it either three weeks prior or three weeks following the conference

 

Conference Materials

Provide us with your branded item(s) and we will stuff them into the attendee bags.  You can provide pens, pads, Post-It Notes, luggage tags or highlighters.  If you have an item that is not listed that you would like to provide, please contact us to discuss directly.

IMPORTANT DATES:

  • A signed contract and full payment must be received by:

  • February 17, 2010 – to be listed as an exhibitor on pre-conference marketing materials (registrations brochure), reaching more than 4,500 people

  • May 5, 2010 - to receive acknowledgement in the on-site program

  • May 12, 2010 - to be included on the vendor flyer placed in each registration flyer

Cancellation by Exhibitor/Sponsor
For cancellation on or before December 31, 2009, full refund of monies will be paid.  For cancellation after December 31, 2009 and before January 31, 2010, fifty percent of monies will be refunded.  There will be no refunds after January 31, 2010.

Cancellation Policy
In the event that this scheduled Conference or event is cancelled by LOMA for any reason, LOMA shall refund any sponsor fees that have been paid by the sponsor. Under no circumstances, however, shall LOMA be liable to the sponsor for any other expenses, including, but not limited to, airfare, hotel or any other travel-related expenses incurred by the sponsor.
